As part of any recruitment process, AdviserPlus collects and processes personal data relating to job applicants. AdviserPlus is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

What information does AdviserPlus collect?

AdviserPlus collects a range of information about you. This includes:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience and employment history;
  • information about your current level of remuneration, including benefit entitlements;
  • whether or not you have a disability for which AdviserPlus needs to make reasonable adjustments during the recruitment process;
  • information about your entitlement to work in the UK; and
  • equal opportunities monitoring information (defined as special categories data) – this information is purely for statistical analysis and monitoring purposes and will be collected later in the recruitment process.

AdviserPlus may collect this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, obtained from your passport or other identity documents, or collected through interviews or other forms of assessment, including online tests.

AdviserPlus may also collect personal data about you from third parties, such as:

  • references supplied by former employers:
  • information from employment background check providers;
  • information about your criminal record from the Disclosure and Barring Service (DBS);
  • credit checks; and
  • a sanctions file check from Experian or Giant Group Limited

AdviserPlus will seek information from third parties only once a job offer to you has been made and will inform you that it is doing so.

Data will be stored in the following places, on your application record, in HR management systems and on other IT systems (including internal network and email).

Recruitment Software

The recruitment software we use via this website is supplied by  Talos360 Limited and they are defined as a Data Processor under GDPR. They will only process your data in accordance with our instructions. Talos360 Limited can be contacted at:

The recruitment software collects only personal data that is specifically and voluntarily provided by visitors. As part of the application process, we may collect the following (but not limited to):

  • Name, address, email, telephone number
  • CV (where applicable)
  • Answers to questions around your recruitment preferences
  • Any other information you wish to provide in support of your application
  • Any answers to questions that correspond with your recruitment preferences
  • Any supporting information that you provide to expand your candidate profile

The data that you submit to this site may be:

  • Made available to the Data Controller
  • Made available to the Data Processor
  • Used to communicate with you about your application
  • Used to communicate with you in regards to recruitment
  • Used to supply you with relevant (optional) job alerts
  • Added to a searchable candidate database
  • Analysed for our internal statistics to improve processes

Sometimes information may be processed on our behalf by relevant third parties; this includes but is not limited to: video interviewing companies, payroll software, and HR software.

We will not collect your information for unrelated purposes without first requesting your consent.

In some cases, we may be compelled or permitted by the law, an official authority or regulatory requirements to process your personal information without your consent or knowledge, even after you have exercised your right to withdrawal, to be forgotten, or objected to processing. If this happens, we will only process the limited personal data that we are required to do so under these specific requirements.

Why does AdviserPlus process personal data?

AdviserPlus needs to process data to take steps at your request prior to entering into a contract with you. It may also need to process your data to enter into a contract with you.

In some cases, AdviserPlus needs to process data to ensure that it is complying with its legal obligations. For example, it is required to check a successful applicant’s eligibility to work in the UK before employment starts.

AdviserPlus has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows AdviserPlus to manage the recruitment process, assess and confirm a candidate’s suitability for employment and decide to whom to offer a job. AdviserPlus may also need to process data from job applicants to respond to and defend against legal claims.

AdviserPlus may process special categories of data, such as information about ethnic origin, sexual orientation or religion or belief, to monitor recruitment statistics. It may also collect information about whether or not applicants are disabled to make reasonable adjustments for candidates who have a disability. AdviserPlus processes such information to carry out its obligations and exercise specific rights in relation to employment.

AdviserPlus is obliged by its clients to seek information about criminal convictions and offences, so that AdviserPlus may assist our clients with regulatory requirements. Where AdviserPlus seeks this information, the associated data processing will be limited to ensuring pre-employment requirements are met.

The purpose of our data collection is to assess your suitability for the specific job role that you have applied for. AdviserPlus also use this information to contact you about other similar job opportunities and may also statistically analyse your data.

If your application is unsuccessful, AdviserPlus may keep your personal data on our recruitment system in case there are future employment opportunities for which you may be suited. Your candidate account will remain open for 18 months after last activity and AdviserPlus may contact you to advise you of vacancies, or you can deactivate your account at any time and your data will be fully anonymised. 

Who has access to data?

Your information may be shared internally for the purposes of the recruitment exercise. This includes members of the HR and recruitment team, interviewers involved in the recruitment process, managers in the business area with a vacancy and IT staff if access to the data is necessary for the performance of their roles. As part of the recruitment process AdviserPlus may also require you to take specific testing (e.g. psychometric testing and sales assessments) and this is performed by third party providers who will have access to your data.

AdviserPlus will not share your data with other third parties, unless your application for employment is successful and it makes you an offer of employment. AdviserPlus will then share your data with former employers to obtain references for you, employment background check providers to obtain necessary background checks and the Disclosure and Barring Service to obtain necessary criminal records and credit checks.

AdviserPlus will not transfer your data outside the European Economic Area. 

How does AdviserPlus protect data?

AdviserPlus takes the security of your data seriously. It has internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties. AdviserPlus is certified to the Information Security Standard ISO27001:2017 and Cyber Essential Plus schemes and ensures that best practice and compliance with policies and controls is followed. Physical controls are used to protect data stored and CCTV is used in the offices and recordings are held for 30 days.

Where AdviserPlus engages third parties to process personal data on its behalf, they do so on the basis of written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data. 

For how long does AdviserPlus keep data?

If your application for employment is unsuccessful, AdviserPlus will hold your data on file for 18 months after the end of the relevant recruitment process. At the end of that period, or once you withdraw your consent, your data is deleted or anonymised.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. The periods for which your data will be held can be found in the Employee Privacy Notice which will be issued to you. 

How can I access the information AdviserPlus holds about me?  Your rights

You are able to access and review the personal information supplied when you apply via our website and correct any inaccuracies it may contain.  Candidates who choose to register may access their profile, correct and update their details, or withdraw their details at any time. To do this, candidates can access their personal profile by using their secure login. In all cases we will treat requests to access information or change information in accordance with applicable legal requirements.

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • require AdviserPlus to change incorrect or incomplete data;
  • require AdviserPlus to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
  • object to the processing of your data where AdviserPlus is relying on its legitimate interests as the legal ground for processing; and
  • withdraw your consent at any point, where processing is based upon your consent.
  • data portability where applicable.

If you think that there are any inaccuracies in your data then let us know and we will amend your records. We also provide reasonable access to our visitors for reviewing the data that you have provided to this website. In this instance please contact  sar@talos360.co.uk  with your request.

If you’d like to remove the data that you have supplied to us then you can do so by contacting dpo@talos360.co.uk  and we’ll delete your records for you.

If you believe that AdviserPlus has not complied with your data protection rights, you can complain to the Information Commissioner.

What if you do not provide personal data?

You are under no statutory or contractual obligation to provide data to AdviserPlus during the recruitment process. However, if you do not provide the information, AdviserPlus may not be able to process your application properly or at all. 

Automated decision-making

Recruitment processes are not based solely on automated decision-making.

AdviserPlus reserve the right to modify or amend this privacy notice at any time and for any reason, providing it maintains compliance with the UK General Data Protection Regulation and the Data Protection Act 2018.
